Beautyfiler FAQs

1. I just subscribed. Where do I start?

The first thing you want to do is to add beauty products to your Stash List. You can do this in a few different ways:

A) Through the Beauty Products List. This is a list of products that we already entered the product information in the database. Search for the products you have in that list, click on the name of the product. This will open a page with the details of this product. Select which list you want that product to go to, and click on the "Add to List" button. If you select "My Stash", this product will be added to your "My Beauty Stash" list, which is the list of products you currently have. If you select "Wish List", this product will be added to the list of products you wish to purchase. If you select "Shopping List", this product will be added to the lst of products you intend to buy when you go out shopping.

EXAMPLE: Lets say you have the Mauve Manhattan 195 nail polish from Maybelline New York. After you found that in the Product List, you can click on the name of the product, and go to it's product details page. You selected "My STash" list, and clicked on the "Add to List" button. Now you can click on the "My Beauty Stash" link on the left menu list, and see that product there.

B) Through the Palette/Set List. This is a list of palettes or sets that include a number of actual beauty products. Search for the palettes/sets that you want, and click on the name of that palette/set. This will open a product details page. Select the list you want this product to go to (My Beauty Stash, Wish List, or Shopping List), and click on the "Add to List" button. All the products included in that alette/set will be automatically placed in your list at once.

EXAMPLE: Let's say you have the Naked 2 palette from Urban Deckay. After you found that in the Palette/Set List, you can click on the name of the product, and go to it's product details page. You selected "My STash" list, and clicked on the "Add to List" button. Now you can click on the "My Beauty Stash" link on the left menu list, and see that all the eyeshadows and the brush that are part of that set are now showing in your Stash list, as well as the palette itself. In this way, you can add multiple products with just one click.

C) Through the custom entry links, such as Eye Product, Face Product, Lip Product, Makeup Tool Product, Nail product, Skin Care and Fragrance Product, and Set/Palette. When you click on one of these links, you will be able to add a product from scratch. Just fill out the fields in the form, and save. You can include as many or as little information you wish. At a minimum, we suggest that you enter the product name, brand, category, and if applicable, color, shade intensity, and finish.

Once you have products in you Stash list, and you included products that have color and finish, such as eyeshadows, lipsticks or nail polish, you will be able to analyze your stash by looking at your Beautyfiler Charts. If you entered color, shade intensity, and finish information, your products will automatically show in your charts.

Please make sure to check the items you entered from the Beauty Products List or the Palette/Set List in order to customize them to your organizational needs. You can edit each one of the items in your stash.

2.How should I enter product information in my Stash?

You can name the product i whatever way it will make sense to you. But we can offer a few tips that can help you make it simple. Let's say you bought some Makeup Geek eyeshadows. So the first field you will fill out is the "Brand" dropdown field. Find the Makeup Geek brand on the dropdown list, and select it. This selection will update the next field ("Link To"), which will show only the products in that brand that belong to that main category, in our example, "Eye Product".

If the product already exists in our main Beauty Products List, you can search for it in the "Link to" field, and select the product if you find it. If you don't find it, then you can link it at another time when the product is added to the main list. If you din't find it, just leave it blank by leaving it at the "Please select" label.

Next, enter the name of the product. In this case, the name of the product is the name of the shade: Beaches and Cream. We do not recommend that you include the name eyeshadow, or the brand name in this field, because you already have that information in other fields. So just enter Beaches and Cream in the "Product Name" field.

Then select the category for this product. This is the only required field in this form. You cannot save this form if the product category is not selected. In our example, we will choose "Eyeshadow".

Since color is an important information about this product, you will probably want to enter its color family. The options here are the basic color families, not any specific shade. If you want to inform a specific shade of that color, please feel free to write those in the "Description" field. Example: Teal, Hot Pink, Peach, etc. Then you can select the "Shade Intensity" field option that best match your product. In our example, our color family is "Beige" and "Light" shade intensity.

The next field is the "Finish" dropdown. If you want to include this product in the Beautyfiler finish distribution charts, then you need to select an option here. In our example, we will be selecting "Matte".

If you want to enter information about the undertone characteristics of the product, then you can select an option in the "Undertone" dropdown: Cool, Neutral, or Warm.

Some products are part of collections. If that is the case with your product, then you can write the name of the collection in the field. In our example, our eyeshadow is part of the Vegan collection, so we can write "Vegan" in the text field.

Now let's talk about the "Set/Palette" dropdown field. A set or palette contains several individual products. For instance, an eyeshadow trio is formed by 3 specific products, in this case 3 different eyeshadow colors. Since each of these colors can also be present in another set or sold as a single product, we must treat each shade of this palette as a separate product. And so, we can group them by defining which palette this particular product we are entering the information belongs to. For example, the eyeshadow "Toasted" from Urban Decay can be found in more than one palette. If you have two of these palettes, then you would have two entries in your stash for this shade, one with the field "Set/Palette" corresponding to  one set, and the other corresponding to the other set. Since our Makeup Geek example is not part of a set, then we can leave this field blank (set to "Please Select").

If you want to enter information about size, you can fill out the text field "Size". You can enter product weight, volume, or general size (small, medium, large).

You can also choose to enter the "Availability" of the product, if it belongs to the permanent line of the brand, of if it has been discontinued, or if it is a limited edition product.

In the world of beauty, we tend to refer to products as being High End or Drugstore. But sometimes products do not fit well in either of these categories. So you can also choose the option "Other". Makeup Geek could be classified as "Other", whereas "Maybelline New York" is Drugstore, and M.A.C is High End.

The "I Have It" dropdown field should be set to Yes if you currently have the product. If you no longer have it, you have the option of deleting the entry completely, or simple selecting the "No" option. When you select "No", the product goes to the "I Do Not Have It" list, and you can bring it back to your Stash List any time by setting this dropdown back to "Yes".

Sometimes you have a product, but you used it all up, and for some reason you are still holding on the the package. You can set this next field "Empty" to "Yes" if that's the case. When you do that, this product will show up on your "Empties" list.

The "Also Add To" dropdown field will determine on which other lists your item will show up: Stash List, Wish List, or Shopping List. If you select "No Other List", then your item will show up only on your Stash list. If you select "Wish List", then this item will show up on your Stash list as well as on the Wish List. And if you select "Shopping List", then this item will show up on you Stash list as well as on you Shopping List.

The combination of the "I Have It" and the "Also Add to" fields can be very useful when you are watching a Youtube video or reading a review about a product you want to try later, and want to add it to your list quickly. If you don't have the product, mark "I have It" as "No", and the "Also Add to" your "Wish List" or "Shopping List". This way you will have your list with you at all times and can just look it up on your phone or tablet when you are at the store.

The "Storage Location" field can help you stay even more organized. You have the option of including where you keep this item. You could enter things such as "Second vanity drawer", or "Makeup kit bag", "Travel bag", or whatever it is that you want to say. The important thing is that it should be something that makes sense to you, even if that means leaving this field blank.

The "Observations" field is a place for you to write your private comments about a product. Have you ever tried a mascara that you loved, but later on you could not remember exactly which one that was? Or a product that works best with another product, and you just wished there was a place for you to write that comment down? Or maybe you want to remember where you got that product, or how much it cost, or who gave it to you and when? Well, there you go. In this field you can write anything you want, and you have up to 255 words to say it.

The next 2 fields are optional date fields, in case you want to include when you opened the product and when it will expire. This will make it easier for you to search later on for expired products.

Rating a product is something that can be very useful not only for yourself, but also for the community. When you rate a product that has been linked to the main Beauty Products List, that rating shows up in the main list, and other subscribers can see the average rating of that product. Items can be rated from 1 to 5, with 5 being "Excellent", 4 being "Very Good", 3 being "Good", 2 being "Fair", and 1 being "Poor". We highly encourage you to always rate your products, so everyone can benefit from your opinion.

We all like to read reviews. It helps us decide if we want to buy certain things, or try them ourselves. Sometimes a product works for some people but not for others. Sometimes people find different ways to make a product work. Maybe you its a product you absolutely love and you must say something about it. Now you can do it straight from you own Stash list. Any comments you write in the "Public Product Review" can be read by the community. Your opinion counts, and we all want to hear your thoughts about the products you have tried! You have up to 300 words available in this field.

Swatches are a great way to check how a product looks like when applied on the skin, or nails. You can upload your own swatches here. Just keep in mind that our format allows for 120 x 120 px jpeg pictures. Most phones now have the option to take square pictures. So this should work well if you don't have the option to crop and resize pictures manually. Please keep in mind that any pictures you may upload to the Ideas N Things website become property of the site, and may be used as the sample image for that product in the main Beauty Products List. We encourage you to send your own original images.

If your product is linked to the Beauty Products List, and if that product has an image available, that image will also show up at the bottom of your items details page.

3. How do I see my charts?

The beauty  stash charts will show you color, shade intensity, and finish distribution of you stash. On your main Beautyfiler page, you will see 3 main options of radio buttons. You must select one radio button for each of these three options in order to see your charts.

The first option is Category. Select which category you wish to analyze: Eye Liner, Eyeshadow, Pigment, Blush, Lipstick, Lip Pencil, Lip Liner, Lip Gloss, Lip Balm, Lip Stain, Nail Polish. Whichever chart type you choose will display the information related to the product category you selected here.

The second option is Color Family. Select which color family you wish to the displayed in the chart. If you want to see all the colors that you have in a category, then select "All Colors". If you wish to see a specific color family, then select the desired color: White, Beige, Pink, Red, Orange, Yellow, Green, Blue, Purple, Brown, Gray, Black.

The last option is the type of chart you want to see. If you want to see all the colors you have in your collection within the selected product category and regardless of finish or shade intensity, then select the "Show Color Distribution only". If you want to see the different finishes of the products in a category, then select "Show Finish Distribution for all shade intensities". If you want to see the distribution of the colors in a certain shade intensity, then select one of the shade intensities: "Light", "Medium", or "Deep".

Examples:

The selected options: Eyeshadow, All Colors, and Show Color Distribution only - will show the Color Family Chart, which will include all the colors you have in that collection, regardless of shade intensity or finish. When you hover with the mouse over a color, a tip will pop up with the color family name and how many products you have in that color family.

The selected options: Nail Polish, Pink, and Show Color Distribution only - will show the shade intensity distribution for that color. When you hover over the bars in the chart you will sii a pop up tip with which shade intensity that represents (Light, Medium, or Deep), and how many products you have in that specific shade intensity.

The selected options: Blush, All Colors, and Show Finish Distribution for all shade intensities -  will show the finish distribution of every color you have. A tool tip will show up when you hover the chart bar with the name of that finish, and how many of those you have in your stash.

The selected options: Lipstick, Brown, and Show Finish Distribution for all shade intensities -  will show the finish distribution of the selected color. A tool tip will pop up when you hover over the chart bar, showing the name of the finish and how many you have in your stash.

The selected options: Lip Gloss, All Colors, and Medium -  will show the finish distribution of every medium shade color you have. A tool tip will show up when you hover the chart bar with the name of that finish, and how many of those you have in your stash.

The selected options: Lip Stain, Orange, and Deep -  will show the finish distribution of the deep shades in the selected color. A tool tip will show up when you hover the chart bar with the name of that finish, and how many of those you have in your stash.

4. What is this: "Do Not Have It"?

This is a list of the items that you entered to your Beauty Stash, and chose the option "No" to the question "Have It". This is useful when you want to keep any comments or public reviews you have entered on a product you no longer have. It will be saved for you in the "Do Not Have It" list until you wish to move it back to your Beauty Stash, or move it to your "Wish/Shopping List", or your list of "Empties".

Let's say you bought a mascara that you absolutely did not like, and wrote the reasons why on you comments. Maybe you also wrote a public review. It is easy to go back to that list and see which mascara was it that you didn't like, so you don't end up buying it again by mistake. Keep in mind if you delete that product, and you made comments or wrote a public review, those will be gone forever. Public reviews are a great resource for the community.

Use the filter options to further define your search and customize the list of displayed products.

5. What is this: "Empties"?

This is the list of product from your stash that you have marked "Yes" for the question "Empty". You still need the information for your reference, and perhaps you want to move this item to the "Wish/Shopping List", but your are not ready yet to send it to you "So Not Have It" list.

Use the filter options to further define your search and customize the list of displayed products.

6. What is this: "Wish/Shopping"?

This is a list of the products in your stash that you also wanted to add to you wish list or your shopping list. It may be a product that you already have, or it may be a product on your "Empties" list, or even on your "I Do Not Have It" list. The "Wish List" is useful when you are browsing products and see something you are interested in, but you are not on your way to purchase it. The "Shopping List" is great to keep all your beauty products that you decided to purchase all in one place. Your list will be there for you when you are at the store. Just use your mobile device to check your list at the store.

Use the filter options to further define your search and customize the list of displayed products. Keep in mind that you must select the "List Type" before any products can be displayed.

7. What is this: "Expired"?

This is a list of the expired products in your "My Beaauty Stash" list. If you entered the expiration date on a product, and if the expiration date has passed already, then that product will automatically appear on this list.

8. What is this: "My Beauty Brands"?

Here you can manage all the brands that you have entered while adding a product, or by clicking on the link "Add New Brand" to the left of the search box on the "My Beauty Brands page". We are constantly adding new brands to our main list of brands, but we realise that tere are so many brands out there, that it would be impossible to have them all listed in our list. You can add any brand you want if you don't see it already listed in our main list. You will be able to see your brand listed in the Brands dropdown.

The brands in your "My Beauty Brands" list are your own, so no one else will be able to see them, unless we add it to the main list. In this case, you will no longer be able to see that particular brand in your list. If you see it listed in the main list, and you also see it in your "My Beauty Brands", it is because you have added a duplicate.

When you add a brand, you will see the "Brand" field, where you will enter the name of the brand you are adding. You will also see the field "Other Common Spellings", where you may choose to enter other ways people may spell that brand. This will be helpful when trying to search for this brand. You can leave it blank if you don't want to enter other common spellings.

9. What is this: "Product Review"?

When Beautyfiler subscribers write a "Public Review" for any of their items, their comments show up in this list. We highly encourage you to write reviews, because it helps inform the community. But this is an optional feature of Beautyfiler.

Use the filter options to further define your search and customize the list of displayed products.

10. Understanding the Youtube Links?

A) View All Videos - Youtube is a wonderful resource for the beauty enthusiasts out there. When Pro subscribers add their videos to the All Videos list, you will be able to search them by video type (e.g. tutorials, tags, open box, etc), or any search term you'd like. It could be the name of the vlogger, or by a product name.

B) View All Beauty Channels - Pro subscribers can add a page about their channel and where you can find them in the social media world. You are welcome to come in and meet all the Pros and like their Facebook page, and subscribe to their channel, all from one page!

C) Configure My Channel Page - This feature is available to Pro subscribers only. Here Pro subscribers can set up their page with all their information, social media links, and more.

D) View My Channel Page - This feature is available to Pro subscribers only. Pro subscribers can check out how their page turned out, and copy the url link. These pages are public, and can be viewed by subscribers and non-subscribers.

E) View My Videos - This feature is available to Pro subscribers only. Here Pro subscribers can add all their Youtube videos to a searchable online database, without any need to know programing.
